Who we are
This website is operated by EzeMind (Pty) Ltd, trading as EzeMind AI and EzeBot, George, Western Cape, South Africa (“we”). We are the responsible party for personal information collected here under the Protection of Personal Information Act, 2013 (POPIA).
What we collect and why
- Enquiry and quote forms: your name, company, email, phone number, site location and type, your message and the robots on your quote list. Name, email and your consent are required for us to respond; the rest is optional. We use these only to respond to your enquiry and prepare a proposal, and we record which version of this notice you accepted.
- WhatsApp: if you message us on WhatsApp, your number and messages are held on Meta’s service and on our devices, under the same retention rule below.
- Technical data: our server records IP addresses and request details in security logs, to protect the site against abuse.
- Your quote list is stored in your own browser (local storage) until you send or clear it. We do not use advertising or analytics cookies.
- Videos from YouTube load only when you press play, through YouTube’s privacy-enhanced mode. YouTube is operated by Google outside South Africa, and Google’s privacy terms then apply.
Sharing and storage
Enquiries are stored on our hosting server in South Africa and delivered to our team by email. We share your details only with service providers who help us respond (hosting and email), or where the law requires it. We do not sell personal information.
How long we keep it
Website enquiries are deleted automatically 24 months after the month they arrive, and we apply the same period to the enquiry mailbox and to backups as they rotate. Enquiries that lead to a quotation or sale are copied into our customer records first and kept as long as tax and contract law require.
Your rights
You may ask to see, correct or delete the personal information we hold about you, or object to its use, by emailing pieter@ezemind.ai (Information Officer). You may also lodge a complaint with the Information Regulator (South Africa) through inforegulator.org.za.
